How Lead360 helps
Smart Lists turn contact criteria into a live, reusable audience. Because membership recalculates from current contact data, teams can focus follow-up, review segments, and feed controlled workflows without maintaining a static spreadsheet that immediately becomes outdated.
When to use this area
Use Smart Lists when a team needs a repeatable view of contacts that match business conditions such as status, tags, dates, assignments, or custom field values.
Before you begin
- Define the business question in plain language.
- Confirm every required contact field is populated consistently.
- Decide whether all rules or any rule must match and inspect the expected audience size.
How membership works
- A Smart List stores rules, displayed columns, and sort order. It does not copy contacts into a separate database.
- Contacts enter or leave automatically when their source, tags, location, contact details, dates, activity, or custom fields begin or stop matching.
Create a useful list
- Choose a clear audience name, then add exact rules using All for AND logic or Any for OR logic.
- Select only the columns staff need, set a stable sort, save, and open the list to verify the matching count and sample contacts.
- Use the duplicate action when a working list is the safest starting point for a related audience.
Before editing or deleting
Check campaigns, automations, exports, and manual work that use the list. Deleting the definition does not delete its contacts, but it can remove a live audience source.
Use Ask360 here
Ask360 can list saved definitions and prepare a new Smart List using source, tags, city, state, country, has email, or has phone. Creation waits for review and does not enroll or message contacts.
Confirm the result
A completed Smart Lists workflow should be visible in the product area that owns the final record. Use these checks before relying on the result or moving to the next customer-facing step.
- Test the filters with contacts that should match and contacts that should not.
- Review the final count and several sample records.
- Recheck consent, channel eligibility, and suppression rules before using the list for outreach.
Troubleshooting
The list is empty
Inspect each filter separately, confirm field types and values, and check whether the list uses all conditions when any condition was intended.
Unexpected contacts appear
Review blank values, date boundaries, tag spelling, status normalization, and nested any or all logic.
