How Lead360 helps
Lead360 Payments records payment attempts and connects supported transactions to appointments, orders, memberships, gift cards, and customer records. It helps staff review amount, currency, provider state, refund history, and business context without treating a UI message as the only proof of funds.
When to use this area
Use Payments to confirm a charge, investigate a failure, collect supported payment, or review a refund and its related business record.
Before you begin
- Confirm customer, amount, currency, purpose, and payment option.
- Use an approved provider connection and never place full card data in notes, chat, or memory.
- Understand whether the operation can be retried safely.
Choose the correct record
- Use transactions for completed or attempted money movement, payment links for pending customer checkout, appointment or order balances for what remains due, refunds for returned funds, and payouts for transfers to the business.
- Match the exact contact, appointment, order, campaign, amount, currency, processor status, and date before drawing a conclusion.
Understand common statuses
- Pending or Processing means the processor or customer action is not finished.
- Paid or Succeeded means the recorded transaction completed; verify it belongs to the intended balance.
- Failed, Cancelled, Refunded, Partially refunded, and Disputed require different follow-up. Read the processor reason and linked record instead of guessing.
Protect payment data
- Never place card numbers, security codes, bank credentials, gift-card codes, or secret processor keys in notes or Ask360 prompts.
- Use only masked identifiers and the secure checkout or payment controls provided by Lead360.
- Confirm refund amount, destination, fees, and remaining balance before any authorized financial action.
Use Ask360 here
Ask360 can explain authorized payment records, reconcile statuses and linked balances, and identify the safest page for the next step. This Help flow is read only: it cannot charge a card, record cash, mark an item paid, create or resend a payment link, refund money, move a payout, or change billing.
Confirm the result
A completed Payments workflow should be visible in the product area that owns the final record. Use these checks before relying on the result or moving to the next customer-facing step.
- Check the provider transaction identifier and final state.
- Confirm the related appointment, order, membership, or gift card independently.
- Review receipts, refunds, fees, and settlement where applicable.
Troubleshooting
A payment appears pending
Check the provider state and webhook processing before retrying. A delayed confirmation can otherwise produce a duplicate attempt.
A refund does not match the business record
Reconcile the provider refund, original payment, Lead360 payment event, and related order or appointment separately.
