How Lead360 helps

Lead360 Appointment List View gives staff a searchable operational record of scheduled and unscheduled appointments. It connects the customer, calendar, service, payment option, status, and timing so teams can book, collect reservation payments, edit, reschedule, and follow up from one workflow.

When to use this area

Use Appointments when a booking needs more detail than the visual calendar, including service pricing, deposits, payment status, unscheduled work, or record management.

Before you begin

  • Confirm that the contact already exists and has usable contact information.
  • Check the calendar and service configuration, including price, duration, deposit, and availability.
  • Know whether payment is required now, later, or not at all.

Book an appointment

  1. Click Book Appointment, search by name, phone, or email, and select an existing contact from the results. Create a missing customer in Contacts first.
  2. Choose the calendar and, when relevant, a service. A service adds its price to the appointment and can make the configured deposit available.
  3. Add the title and optional description, then choose a date, an available time slot, and duration. Set date later creates an Unscheduled appointment and only supports No payment.
  4. Review the information, then create the appointment or choose a reservation payment option.

Payment while booking

  1. Choose No payment, the full selected service amount, the calendar deposit, or a custom amount.
  2. Then choose Send payment link, Pay now, Cash payment, or Already paid. Cash and existing payments require a selected service and are recorded against its balance.
  3. Payment links hold the slot until verified payment. Cash and existing payments create the appointment immediately after the amount is recorded.
  4. Pay now opens the secure checkout immediately. The slot remains held while payment is pending, and the appointment is created only after payment is verified.

Use the Payment column

  1. Charge opens Take payment for the remaining balance. Collect from an approved card on file, enter a new card, record cash, or send a payment link.
  2. Processing means a payment link or checkout is still pending; open it to copy, resend, or cancel the link before using another method.
  3. Paid means the appointment balance is fully covered. No contact means payment cannot be taken until the appointment is linked to a contact.

Find and manage appointments

  1. Use Upcoming, Unscheduled, All, or Cancelled, then search by appointment title or contact.
  2. Change the Status field as the visit progresses: Unscheduled, Confirmed, Showed, No show, Cancelled, or Invalid.
  3. Click a row for details and notes. Use the Actions menu to view details, edit, reschedule or set a date, or delete the appointment.

Confirm the result

A completed Appointments workflow should be visible in the product area that owns the final record. Use these checks before relying on the result or moving to the next customer-facing step.

  • Open the created appointment and compare every field with the customer request.
  • Verify payment status independently from the booking status.
  • Confirm any reschedule or cancellation message went to the intended customer through an approved channel.

Troubleshooting

No time slots appear

Check date, timezone, working hours, service duration, buffers, notice rules, assigned staff, and conflicts on the selected calendar.

Payment and booking states disagree

Treat them as separate records. Review the payment transaction, provider response, and appointment status before changing either one.
